Terms of Service
Last updated: 3 October 2026
These Terms of Service explain the basis on which Techytal Ltd provides the SCPASE platform to an organization and its authorized users. Please read them alongside our Privacy Policy, which explains what personal data we process and why.
1. Who these terms are between
These Terms of Service (“Terms”) are a contract between Techytal Ltd (“Techytal”, “we”, “us”), the company behind SCPASE, and the organization that has been provisioned an SCPASE workspace (“Customer”, “you”, “your organization”). They also govern any individual (a staff member, student, guest, or administrator) who signs in to that workspace (“User”) as an authorized representative of the Customer.
If you are a User signing in on behalf of an organization, you confirm that your organization has agreed to these Terms and that you are authorized to use the Service under its account.
2. The Service
SCPASE is a multi-tenant room booking and hotdesking platform: real-time room and desk availability, approval workflows, recurring bookings, check-in, analytics, and related administration tools, provided as a hosted web application.
SCPASE is provisioned per organization, not sold as a public self-service product. A new workspace is set up after you contact us, and each organization's workspace, data, users, and branding are kept isolated from every other organization on the platform.
3. Accounts and access
Access to a workspace is controlled by your organization's own administrators. Users typically sign in with an existing Google or Microsoft account tied to your organization's registered email domain, or with a guest account your administrator has issued; there is no separate SCPASE password to manage outside of that.
Your organization is responsible for:
- which email domains, accounts, and individuals are allowed to sign in to its workspace;
- keeping its own administrator accounts secure, including any Microsoft 365 tenant-wide consent granted to enable optional integrations;
- the accuracy of information entered into the Service by its users; and
- its own compliance obligations toward the staff, students, or other individuals whose personal data it enters into the Service.
You must notify us promptly at info@scpase.co.uk if you believe an account or integration connected to your workspace has been compromised.
4. Acceptable use
You agree not to, and not to permit any User to:
- attempt to access another organization's workspace, data, or accounts;
- attempt to bypass, probe, or disable any security, access-control, or rate-limiting mechanism of the Service;
- use the Service to transmit unlawful, infringing, or abusive content;
- reverse-engineer, resell, or sublicense the Service except as expressly agreed in writing; or
- use the Service in a way that places unreasonable load on it or interferes with other organizations' use of it.
We may suspend access where we reasonably believe this section has been breached, and will tell you why as soon as practicable.
5. Your data
As between you and us, your organization owns the data it enters into the Service (bookings, user records, branding, and similar). We process that data on your behalf, as described in our Privacy Policy, and will not use it for any purpose other than providing and improving the Service, except where the Privacy Policy says otherwise.
Organizations that need a signed Data Processing Agreement for their own regulatory compliance can request one from info@scpase.co.uk.
Booking and admin-action records function as an audit trail for your organization and, once created, are retained in an append-only form even after a booking is cancelled or edited. Editing or cancelling a booking adds a new record rather than erasing the old one. This is described further, including what it means for account deletion requests, in our Privacy Policy.
6. Optional third-party integrations
Some features are optional and only take effect once your organization's own administrator explicitly turns them on and, where required, completes a consent step with the relevant provider:
- connecting a personal Outlook calendar to sync individual bookings;
- a tenant-wide Microsoft Graph application permission grant, approved by your organization's own Microsoft 365 administrator, used for the hotdesk reminder engine; and
- publishing a Microsoft Teams app to your organization's own app catalog, to enable Teams notifications.
These integrations are also governed by Microsoft's and Google's own applicable terms. We are not responsible for the availability or behaviour of those third-party services.
7. Fees
SCPASE has no published public pricing. Fees, if any, for your organization's use of the Service are as set out in a separate order form or agreement signed between you and us; these Terms apply alongside that agreement and do not themselves create a payment obligation.
8. Availability and support
We aim to keep the Service available and performant, and to notify organizations in advance of planned maintenance where practicable, but we do not guarantee uninterrupted availability unless a specific service level is agreed separately in writing.
Support is provided via the in-app helpdesk and info@scpase.co.uk.
9. Intellectual property
Techytal owns all right, title, and interest in the Service itself, including its software, design, and underlying technology. Nothing in these Terms transfers any of that to you. You retain ownership of your own data, as described in section 5.
10. Disclaimers and limitation of liability
To the maximum extent permitted by law, the Service is provided “as is” and “as available”, without warranties of any kind beyond those that cannot be excluded by law.
To the maximum extent permitted by law, neither party will be liable to the other for any indirect, special, or consequential loss, and each party's total liability arising out of these Terms will be limited as set out in any separately signed agreement between the parties, or otherwise to a reasonable amount proportionate to the fees paid for the Service in the 12 months before the claim arose.
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or anything else that cannot lawfully be limited or excluded.
11. Term, suspension, and termination
These Terms apply for as long as your organization has an active SCPASE workspace. Either party may terminate as set out in any separately signed order or agreement; absent one, either party may terminate for convenience on reasonable written notice, or immediately for a material, uncured breach of these Terms.
On termination, we will retain your organization's data for a reasonable period in case it's needed for a transition or legal reason, then handle it in line with our Privacy Policy, subject to the audit-trail retention described in section 5.
12. Changes to these Terms
We may update these Terms from time to time. We'll post the updated version here with a new “Last updated” date, and where a change is material we'll make a reasonable effort to notify your organization's administrators directly. Continued use of the Service after an update takes effect means you accept the revised Terms.
13. Governing law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them, unless a separately signed agreement between the parties says otherwise.
